Terms of Service

Plain English summary: Use the platform fairly and legally. Pay your subscription on time. Your guest data is yours. We provide the service in good faith but can't guarantee it will be perfect 100% of the time. Either party can cancel with reasonable notice.

1. About these terms

These Terms of Service ("Terms") govern your use of the Onsite Badge platform ("the Service") operated by Onsite Badge Ltd, a company registered in England and Wales ("we", "us", "our").

By creating an account or using the Service, you agree to these Terms. If you are accepting on behalf of a company or organisation, you confirm you have authority to bind that entity to these Terms.

We may update these Terms from time to time. We will notify you of significant changes by email and by updating the date above. Continued use of the Service after notification constitutes acceptance of the updated Terms.

2. The Service

Onsite Badge is a web-based platform providing badge printing, guest check-in, and event management tools for event professionals. The Service includes:

We reserve the right to modify, update, or discontinue features of the Service with reasonable notice. We will not remove core functionality without giving subscribers at least 30 days' notice.

3. Your account

You must provide accurate information when creating your account and keep it up to date. You are responsible for maintaining the security of your login credentials and for all activity that occurs under your account. Notify us immediately at info@onsitebadge.com if you suspect unauthorised access.

You may not share your account credentials with others outside your organisation or create accounts on behalf of third parties without their consent. Each subscription covers the number of users specified in your plan.

4. Acceptable use

You agree to use the Service only for lawful purposes and in accordance with these Terms. You must not:

5. Subscriptions and payment

Billing

The Service is provided on a subscription basis, billed monthly or annually as selected at signup. Subscriptions renew automatically at the end of each billing period unless cancelled. All prices are in US Dollars (USD) unless otherwise stated.

Free trial

We offer a free trial period as described on our pricing page. No payment information is required during the trial. At the end of the trial period, continued access requires a paid subscription.

Founding member pricing

Clients who subscribed during the founding member period at the promotional rate will retain that rate for as long as their subscription remains active and in good standing. The founding member rate does not transfer and is forfeited upon cancellation.

Failed payments

If a payment fails, we will notify you by email and attempt to retry the payment. If payment is not successfully collected within 14 days, your account may be suspended. Access will be restored immediately upon successful payment. We will not delete your data during a payment grace period.

Refunds

Monthly subscriptions are non-refundable once a billing period has commenced. Annual subscriptions may be refunded on a pro-rata basis within 14 days of the annual renewal date. Refund requests should be sent to info@onsitebadge.com.

6. Cancellation

You may cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period — you retain full access until then. We do not charge cancellation fees.

Upon cancellation, your data is retained for 90 days before permanent deletion, giving you time to export anything you need. You can request immediate deletion by emailing info@onsitebadge.com.

We reserve the right to terminate your account for breach of these Terms. In cases of serious breach (illegal use, security violations), termination may be immediate without refund. In other cases, we will give you 14 days' notice and the opportunity to resolve the issue.

7. Your data

You retain full ownership of all data you upload to the Service, including guest lists, event records, and badge templates. We do not claim any ownership over your data.

You grant us a limited licence to store, process, and display your data solely for the purpose of providing the Service to you. We will never use your data for our own marketing, share it with third parties for commercial purposes, or analyse it for any purpose other than providing and improving the Service.

You are responsible for ensuring that any personal data you upload (including guest names and contact details) is collected and processed lawfully, and that you have an appropriate legal basis under UK GDPR, GDPR, or other applicable data protection law.

8. Intellectual property

The Onsite Badge platform, including its design, code, features, and content (excluding your data), is owned by Onsite Badge Ltd and protected by intellectual property laws. You may not copy, reproduce, or create derivative works from any part of the platform without our prior written consent.

Badge templates you create using the platform remain your intellectual property. We do not claim ownership over any designs you upload or create within the Service.

9. Service availability and uptime

We aim to provide a reliable, high-availability service and will make reasonable efforts to ensure the platform is available when you need it. However, we do not guarantee 100% uptime. The Service may be temporarily unavailable due to scheduled maintenance (for which we will give advance notice where possible) or circumstances outside our control.

The offline functionality of Onsite Badge is designed to allow continued use during internet outages. However, the effectiveness of offline mode depends on your device, browser, and the completeness of your pre-event setup. We recommend testing offline functionality before each event.

10. Limitation of liability

To the maximum extent permitted by law, Onsite Badge Ltd shall not be liable for:

Our total aggregate liability to you under these Terms shall not exceed the total subscription fees paid by you in the 12 months preceding the event giving rise to the claim.

Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

11. Indemnity

You agree to indemnify and hold harmless Onsite Badge Ltd and its directors, employees, and agents from any claims, losses, damages, or expenses (including reasonable legal fees) arising from your use of the Service in breach of these Terms, your violation of any law, or your infringement of any third party's rights.

12. Governing law and disputes

These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Before initiating any formal legal proceedings, we ask that you contact us at info@onsitebadge.com to attempt to resolve the dispute informally. Most issues can be resolved quickly through direct communication.

13. General

If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force. Our failure to enforce any provision of these Terms is not a waiver of our right to enforce it in the future. These Terms, together with our Privacy Policy, constitute the entire agreement between you and Onsite Badge Ltd regarding the Service.
