Before the event
Setup takes minutes, not hours

Step 01

Create your event

Add your event name, date, and expected attendance. The setup wizard recommends the right number of check-in stations based on your guest count and arrival window.

Step 02

Upload your guest list

Import a CSV with first name, last name, and company — three columns minimum. Your list can be updated right up until event day. Walk-ins are handled at the desk.

Step 03

Design your badge template

Position your guest fields — name, company, title — on the canvas. Onsite Badge prints these details in black onto your pre-printed card stock on the day.

Step 04

Order your card stock

Send your badge artwork — logos, event branding, colours — to any print shop. They print it on 145gsm card, cut to 190mm × 145mm, ready to load into your printer.

Why pre-printed card stock? Full-colour onsite printing is slow, expensive, and unreliable under pressure. Pre-printing your artwork at a print shop gives you professional results at a fraction of the cost — and your mono laser printer handles only the variable guest details on the day, printing each badge in seconds.

Standard event lanyards with a clip or hook. Any colour, any supplier. The pouch attaches to the lanyard and the badge hangs cleanly, readable from both sides.

Step 01

Load the printer

Pre-printed card stock goes into your mono laser printer before guests arrive. Do one test print to confirm alignment. Takes two minutes per station.

Step 02

Guest says their name

Your operator types 2-3 letters. The guest list filters instantly. No QR codes. No phone fumbling. No scanning equipment. The guest just says their name.

Step 03

Verify and print

Select the guest, confirm their details on screen, click print. The badge comes out of the printer in seconds — name, company, and title printed in crisp black on your pre-printed card.

Step 04

Fold, pouch, lanyard

Fold the card vertically, slip into the PVC pouch, attach to the lanyard. Both sides of the badge show the guest's details — it reads correctly whichever way it faces.

Works fully offline. All guest data loads onto each device before the event. The search, check-in, and print flow requires no internet connection. Venue WiFi going down changes nothing. This isn't a backup feature — it's the default.

Walk-in guests

Not on the list? No problem.

Click Add Walk-In, enter their details manually, and print their badge. Walk-ins appear separately in your attendance report with a flag so you can track them. Every station handles walk-ins — the load is shared across all operators rather than queuing to one dedicated desk.
